This bakery invoice template is a free sheet you can download as CSV, open in Excel or Google Sheets, and send to a customer in minutes. It already has the lines a home baker needs: a header with your bakery, invoice number, date, customer and delivery, each item with quantity and unit price, delivery, a subtotal, the deposit the customer paid, and the balance due on delivery. Below: what to include, a worked example with a deposit, invoice versus receipt, and how Farinu tracks what each customer still owes.

What to put on a bakery invoice template

A good invoice answers three questions at a glance: what the customer ordered, how much it costs, and how much is still to pay. The downloadable sheet starts with a header block (your bakery, invoice number, date, customer and delivery), then the item lines and totals; replace the example details with yours.

How to use the free cake invoice template

Download the CSV from this page and open it in Excel, Numbers, or Google Sheets. Fill in the header rows, then replace the example lines with your order, keeping one item per row. The amount column is quantity times unit price; in a spreadsheet you can type a formula such as =B7*C7 so it updates when you change a price.

Fill in the deposit row with what the customer already paid, written as a negative amount, so the last row shows the balance due. Then save or export it as PDF and send it by email or WhatsApp. Save a copy under the invoice number.

Worked example: a cake order with a deposit

Here is the example from the template, with illustrative numbers. A customer orders an 8 inch lemon layer cake at $45.00, a dozen vanilla cupcakes at $2.50 each ($30.00), a custom message topper at $6.00, and delivery at $10.00. The subtotal is $91.00 with no discount, so the total is $91.00.

You ask for a deposit before you buy ingredients, and the customer pays $40.00 when they confirm. The invoice shows the deposit as minus $40.00, and the balance due on delivery is $51.00. When the customer pays the $51.00, the order is fully paid and you can send a receipt.

Invoice or bakery receipt template: which one to send

An invoice asks for payment: you send it when the order is confirmed or before delivery, and it shows what is still owed. A receipt confirms a payment already made: you send it after the customer pays, with the date, the amount, and how they paid.

You can use this sheet as a bakery receipt template too. Once the balance is paid, change the last row to Balance due: 0.00, add Paid in full with the date, and title it Receipt instead of Invoice. Sales tax rules depend on your state, so check whether you need a tax line; this page is not tax advice.

Keep track of orders, deposits and balances in Farinu

Behind every invoice you still need to know which orders are confirmed, who paid a deposit, and who owes a balance. That is the part Farinu does today; it does not generate invoices, so this template stays useful for the document itself.

In Farinu you save each customer with their WhatsApp number and create an order with its delivery date, a price list, and the items. Prices come from your price list, so the total matches what you quote. You record the deposit and the balance as payments, and the order moves from confirmed to deposit paid, in production, ready, delivered, and paid.

When an order is delivered with a balance still due, Farinu gives you a WhatsApp link with a balance reminder for that customer. Once the order is paid, its items become sales in your sales log and count in your monthly profit and loss.

Helpers can manage orders and see prices, totals, and balances, but never your costs or margins. Sales and helpers are part of the Team plan; the free plan covers recipe costing for up to 10 recipes and up to 50 orders a month with their payments.

Questions

Is this bakery invoice template free?
Yes. Download the CSV and use it as often as you like, in Excel, Numbers, or Google Sheets. You do not need an account.
How much deposit should I ask for on a custom cake?
There is no fixed rule. Many bakers ask for enough to cover ingredients and decorations before they start, often around half of the total. Put the amount and the date it is due on the invoice so there is no doubt.
Can Farinu send invoices for me?
Not today. Farinu tracks customers, orders, deposits, balances, and sales, and gives you a WhatsApp reminder link for a balance due. Use this template for the invoice document itself.
