Cake quote template: quotes for custom cakes in Farinu
A good cake quote template lists the cake (servings, tiers, flavours, design), the delivery or pickup date, the itemised price, the deposit needed to book the date, and the date the quote expires. Quotes are a planned feature in Farinu: they do not exist in the app yet. Until they ship, you can build each quote from a costed recipe in Farinu, send it from your own template, and turn it into an order once the customer says yes.
The problem with quoting custom cakes
A customer asks for a two-tier birthday cake for 40 people with a drip and fresh flowers. You answer on WhatsApp with a number you work out in your head, then the customer asks to change the filling, add a topper and move the date. Three messages later nobody remembers which price was agreed.
Quoting from memory has two costs. You forget the extras that eat your margin, like the cake board, the box, the flowers and the drive. And you have no record of what was promised when the customer comes back to collect.
What to put in a cake estimate template
Whether you call it a quote or a cake estimate template, the same fields keep both sides clear. Write them down every time, even for friends.
- Customer name and contact number
- Event date and pickup or delivery time and address
- Servings, number of tiers and shape
- Sponge, filling and frosting flavours, and any allergies
- Design notes: colours, toppers, flowers, writing
- Itemised price: cake, decorations, packaging, delivery
- Deposit amount and the date the balance is due
- Quote valid until, and your change and cancellation terms
Worked example: a quote for a two-tier cake
This is an example with made-up but realistic numbers. Your own costs and prices will differ.
The price of the cake itself comes from your costed recipe, not from a guess: ingredients, packaging, your time, oven use and a share of overhead, plus your markup. Extras are priced on top, so the customer sees what changing them would do.
| Line | Detail | Price |
|---|---|---|
| Cake | Two tiers, vanilla sponge, raspberry filling, buttercream | $180.00 |

| Topper | Custom name topper | $15.00 |
| Packaging | Cake board and tall box | $8.00 |
| Delivery | Within 10 miles | $20.00 |
| Total | Valid for 7 days | $258.00 |
| Deposit | 50% to book the date | $129.00 |
| Balance | Due on delivery | $129.00 |
What you can do in Farinu today
You can already do most of the work behind a quote. Cost the recipe in Farinu with its ingredients, sub-recipes like the filling and buttercream, packaging, labour, machines and overhead, and it shows the cost per cake and a suggested price from the markup you set. The free plan covers costing for up to 10 recipes.
Price lists are free too: keep your standard prices in a retail or wholesale list, so the cake line of every quote starts from the same number. If an ingredient price rises, a margin alert tells you which cakes now sell below your target and what to charge instead, before you quote the old price again.
Write the quote itself in your own template, or start from our free cake contract template, which covers the deposit and cancellation terms. When the customer accepts, create the order in Farinu: save the customer with their WhatsApp number, pick the cake from your price list, record the deposit, and record the balance on delivery. The order and its payments then show up in your sales log and monthly P&L on the Team plan.
What quotes in Farinu will do
The plan is to let you draft a quote from your price list and costed recipes, add extras as separate lines, set a deposit and an expiry date, and share it with the customer. Once they accept, the quote would become an order with the same lines and prices, so you never type it twice.
This is the intent, not a promise of exact behaviour or a date. Create a free account and we will tell you when quotes ship.
Questions
- Can I send quotes from Farinu now?
- Not yet. Quotes are planned. Today you can cost the cake and keep retail and wholesale price lists for free in Farinu, write the quote in your own template, and create the order once the customer accepts, free for up to 50 orders a month.
- What is the difference between a cake quote and a cake estimate?
- In practice bakers use both words for the same thing. Some treat an estimate as a rough figure and a quote as a fixed price valid until a set date. Whichever you use, put the expiry date on it.
- How much deposit should a cake quote ask for?
- Many custom cake bakers ask for a share of the total to book the date, often a third to a half, with the balance due before or at pickup. Pick a rule, write it on every quote and stick to it.
- How do I price the cake line of a quote?
- Start from the full cost of the recipe, including packaging, your time and overhead, then add your markup. Farinu does this per recipe and suggests a price from the markup you set.
